Document Formatting Guidelines

The following guidelines for Electronic Document Review (EDR) outline the formatting requirements for a successful online permit submittal.

Digital Files

  • Landscape orientation.
  • Provide one PDF for each document.
    • Plans - preferred a PDF exported from the native file, not a scan saved as a PDF.
    • Apply Optical Character Recognition to the documents so they are text searchable.
    • Remove and flatten into a single layer.
    • Unsecure PDF’s from security settings for plan markups.
  • Supporting documents (soils report, structural calculations, title 24 energy) require their own separate PDF file.
  • Bookmark, index, and label pages within the PDF remain consistent for all submittals.
  • Naming of the sheets within a document include the first character of the respective discipline name following by its sheet number.  For example, Architectural is A1.0.
  • Maximum PDF size is 100 Mb.
  • Other supported document types are .XLS, .XLSX, .DOC, .DOCX, .JPG, .JPEG, .PDFA, .PNG.
  • Photos are not considered plans.

File Name

File names for documents shall remain consistent for all submittals, including revised/resubmitted files.

Approved Stamp Location

Provide 6-inch wide clear space for stamping in a consistent location throughout the plan documents preferably on title block.
